Cancel and rebook a rental

When a customer moves their event to a different day or room, you cancel the old booking and create a new one — there's no one-click reschedule. Both steps are quick, and the calendar frees the old time the moment you cancel, so nothing sits blocked.

Cancel the existing booking

  1. Open the booking from the Planner and choose Cancel booking.

  2. Pick what should happen to any balance: Cancel only, Cancel and waive the remaining balance, or Cancel and retain the deposit.

    Waiving a balance needs the payments permission, so a manager or admin handles that one.

  3. Add a Reason and, if you'd like, switch on Notify renter by email.

    The reason is saved to the audit log. The email is off unless you turn it on, and only sends when there's an account on file.

  4. Choose Confirm cancellation.

The booking now reads Cancelled and its time opens up right away — so you can reuse that same slot for the new booking if that's what the customer wants.

Book the new time

On the Planner, choose New booking — or click the empty slot you want, which fills in the resource and time for you. Pick the member, confirm the resource and the new date or start and end time, handle payment, and choose Create booking.

If the new time is taken

NestPoint checks the resource as you set the time. If it overlaps another booking or a staff blackout, you'll see a message like “This time conflicts with another booking. Pick another time.” A blackout can't be worked around, but an overlapping booking can sometimes be forced with a reason if your workspace allows double-booking.
