A workflow walkthrough

Opening day for fall registration.

Setting up fall programs in August, opening registration to members in September, then running them through December. The same workflow every season.

  1. Mid-August — Set the fall slate. The program coordinator duplicates last fall's schedule, adjusts dates, swaps instructors where needed, and updates pricing. Twelve programs configured in an afternoon.

  2. September 1 — Registration opens. An email goes to all active members with the season catalog. Members tap a program, fill in any child or family member info, pick a payment plan, and confirm. Most registrations complete in under three minutes.

  3. September 1, 11:00 AM — Demand check. Three programs are at capacity by mid-morning. Waitlists open automatically; members signing up after capacity get added to the waitlist with their position visible.

  4. September 9 — First day of programs. Members tap in at the front desk; rosters light up in each room. The Yoga instructor sees who's in her 9 AM class from her phone before the first downward dog.

  5. December 16 — Season wraps. The end-of-season report runs: attendance rate per program, instructor hours, drop-out reasons, scholarship distribution, revenue per program. Ready for the board's January meeting.
