Scheduled sends

Write it Monday. Send it Friday.

Compose the weekly newsletter once; schedule it for Friday at 8 AM. Recurring sends (every Monday at 9, every Wednesday at noon) build themselves. One-off sends queue for any future time — useful for embargoed announcements, retreat reminders, or the renewal-reminder series timed to renewal anniversaries.

Segmentation

Send to the right people, not everyone.

Segment by membership tier, by group, by attendance pattern, by engagement, by custom field. The Wednesday-night small-group reminder goes to that group only. The lapsed-member re-engagement series goes to lapsed members only. The youth-retreat announcement goes to households with kids in the right age range.

Open & reply tracking

Open rates and click-through tracking per send, per segment. Replies route to the sender's inbox (or to a shared support inbox). Members who replied to last week's prayer-chain message show up in the pastoral-care team's follow-up queue — no replies lost to a noreply@ inbox.

A workflow walkthrough

The Friday bulletin, start to send.

The weekly bulletin at a faith community — Tuesday composition through Friday morning send, all on one workflow.

  1. Tuesday — Maya opens the template. She duplicates last week's bulletin template, drops in this week's announcements, prayer requests, and event reminders. Merge fields automatically pull in upcoming-events data from the events module; she doesn't have to type the retreat date.

  2. Wednesday — Senior minister review. The bulletin sits in the senior minister's review queue overnight. She reads it Wednesday morning, suggests one rephrase on the prayer request, approves. The system queues it for Friday morning send.

  3. Friday, 8:00 AM — Send fires. The bulletin goes to 247 active members and 38 lapsed members. SMS version goes to the 12 members who prefer text-only. By 8:15, 30% have opened it.

  4. Friday, mid-morning — Replies route. Six replies land — three with prayer requests, two RSVPing for the retreat, one with a question about the new-member class. Each routes to the right team member's inbox; the pastoral care team picks up the prayer requests immediately.

  5. Monday — Engagement report. Open rate: 67% (above last week, above the benchmark). Click rate on the retreat link: 18%. The senior minister's weekly engagement view confirms the message landed.
