Households

Family, on one record.

Spouses, partners, children, dependents, related members — grouped into a household with shared billing, shared address, and household-level fields. Per-member fields still apply (each kid has their own programs, allergies, photo); household-level fields stay shared (mailing address, family-membership tier, emergency contact).

Photos

Faces on the directory, when members say yes.

Photo upload is opt-in per member. Members upload from the portal (selfie from the phone, or a photo their family sent). The photo flows into the printed directory, the badge, and the front-desk recognition view. Members can opt out anytime; their record stays in the directory, just without the photo.

Member-managed profiles

They update. You don't chase.

Karen's daughter moved. Bill changed his cell number. Patricia updated her emergency contact. Members make these changes from the portal themselves — the directory stays accurate without the office becoming a data-entry bottleneck.

Custom fields

Track what your org actually needs.

Add custom fields per member: birthdate verification for Title III eligibility, dietary restrictions, mobility status, profession, expertise, graduation year, chapter, anything else your funder or board asks about. Custom fields appear in search, in reports, and in the printed directory if you choose.

A workflow walkthrough

A new family joins the community.

From the first portal sign-up through the next printed directory. The directory stays current the whole way.

  1. Day 1 — The Coles sign up. Stephanie creates a family account from her phone. She adds her husband, their two kids (ages 9 and 12), and grandpa as an authorized pickup. The household is created with shared billing; each member gets their own record.

  2. Day 7 — Custom fields filled. At sign-up, Stephanie filled in dietary restrictions for one kid (nut allergy), mobility status for grandpa (walker), and the family's preferred pickup contact. All fields flow into the relevant modules — meals, rides, programs.

  3. Day 30 — A move. The family moves across town. Stephanie updates the household address from the portal in three taps. The change propagates everywhere: front-desk lookup, mailing labels, the next printed directory.

  4. Day 60 — Grandpa's mobility changes. Grandpa's been using a walker; now he needs the wheelchair. The family updates his mobility status from his record. The ride dispatcher sees the new flag immediately; next Tuesday's grocery shuttle assigns the wheelchair-accessible van automatically.

  5. Day 90 — Quarterly directory print. The office runs the PDF directory for the quarterly mailing. The Coles appear together as a household; mom and dad's photos are in (kids' photos still pending). 234 households, accurate to this morning.
