Badge scan-in

One scan, and the desk knows what to say.

The card pulls up the member and records the visit in the same motion. When something is off, the screen says which thing in plain words: this member is inactive, or they were already checked in at 9:14, or this membership does not cover this building and here is the day pass. Nobody has to interpret a code.

Name lookup

Find a member even when the badge is at home.

Search by first or last name and use the household beside each result to pick the right Bob. Check them in straight from the result, or assign a replacement card while they are standing there.

Program rosters at the door

Take the roll while they are still in front of you.

Today's sessions sit on the check-in screen next to the member you just scanned. Tick the ones they came for and the roster is marked attended. If they never registered, a staff member can add them anyway, because the person is here and the paperwork can catch up.

Lost-card recovery

Replace a lost badge in one step.

Look up the member, scan the new card, done. The missing one deactivates in the same action, so there is no second screen to remember during the nine o'clock rush. The member's history does not move.

  • Both codes recorded in the activity log

Visitors & guests

Check in a walk-in without making them a member.

A guest visit takes a name and nothing more, and it counts in the same who-is-here list as everyone else. If the visit is a paid one, the desk sells a day pass at the same time: priced, good for that date, taken in cash, by check, or on the card reader.

A typical workflow

They walk in. You already know who they are.

A check-in moves through the same few steps whether an experienced manager or a Tuesday volunteer is at the desk.

  1. Identify the member. Scan the card, or search by name and pick the right person out of the household.

  2. Read what the screen says. Active and covered here, or inactive, or already in, or not entitled at this building.

  3. Record the visit. The check-in lands on the member's history and on the count of who is here today.

  4. Handle what needs handling. An inactive member, a lost card, a wrong building, or a class to tick, all from the same record.

  5. Use it later. Visits, attendance, and day passes feed the rosters and the reports without being re-entered.
