Front-of-house · Rentals

Every room you rent out, on a calendar people trust.

Manage rooms, gyms, fields, pavilions, and equipment alongside your programs and events, with availability, payments, and rental history in one workflow.

What it helps with

What your team can do here.

Real-time availability

Show renters the availability you choose to publish.

A public-facing calendar can show available spaces and times. Renters provide the details you request, while your team decides which bookings require review before confirmation.

  • Public calendar per space
  • Online request with an approval flow
  • Configurable confirmation requirements

Conflict detection

Check a request against the work already scheduled.

Rental requests can be checked against other rentals, programs, and events using the same space. Staff can review a conflict before approving a booking.

  • Checks programs, rentals, and events
  • Configurable setup and cleanup buffers
  • Blackout dates for maintenance and holidays

Deposits & balances

Keep deposits, balances, and adjustments connected.

Record the deposit, remaining balance, refunds, and post-event adjustments with the rental so staff can see the complete payment history.

  • Configurable deposit and balance schedules
  • Supporting notes or files for adjustments
  • Refunds and partial refunds per your policy

Equipment rentals

Include the equipment a booking needs.

Add available tables, chairs, projectors, or other equipment to a rental request and keep those items connected to the room and time.

  • Per-equipment availability tracking
  • Combined room and equipment requests
  • Loss and damage tracking per item

A typical workflow

Is the hall free on the 14th? Now it is booked.

Keep the space, renter, requested setup, approval, and payment history connected from the first inquiry through follow-up.

  1. Review availability. The renter or staff member chooses a space and time, then adds the event details and requested equipment.

  2. Review and approve the request. Staff confirm availability, collect any required documents, and approve or revise the booking before it is finalized.

  3. Collect the required payment. Keep the deposit and balance schedule with the booking and send the renter the relevant payment information.

  4. Record post-event follow-up. Add notes, supporting files, refunds, or allowed adjustments after the event according to your rental policy.

  5. Keep the completed record. The final booking, payment history, and follow-up remain available for staff reference and reports.
