Front-of-house · Rides & Transportation

Plan the ride around the member who needs it.

Manage one-time and recurring requests, review mobility needs, prepare driver schedules, and keep each completed ride with the member record.

What it helps with

What your team can do here.

Ride requests

Keep one-time and recurring requests together.

Authorized members, family contacts, or staff can submit ride requests. Save frequently used pickup and drop-off information with the member for future scheduling.

  • One-off or recurring requests
  • Authorized requests on behalf of a member
  • Saved addresses for faster booking

Mobility matching

The right vehicle for the right rider.

Record relevant mobility and assistance information on the member record, then review it while assigning an available vehicle and driver.

  • Mobility status on every member record
  • Vehicle capabilities available during scheduling
  • Supported assistance and companion notes

Driver dispatch

Give drivers a clear view of the route.

Authorized drivers can review their assigned stops, addresses, rider details, and relevant mobility information from a phone or tablet, then record progress as the route runs.

  • Driver view on phone or tablet
  • Pickup and drop-off status
  • Schedule updates for the relevant people

Ride history & reporting

Keep completed rides with the member history.

Record mileage, times, vehicle, driver, trip category, and notes. Use those records to prepare supported operational or funder reports.

  • Per-member and per-vehicle history
  • Mileage tracking for funder reports
  • Program categorization (medical, social, shopping)

A typical workflow

A phone call Monday. A logged trip Tuesday.

A recurring route follows the same clear process each time while still allowing staff to respond to changes.

  1. Collect the request. Add the member to a one-time trip or recurring route and confirm the pickup, destination, and assistance needs.

  2. Prepare the route. Review riders, vehicle capabilities, driver assignments, and the stop order before dispatch.

  3. Record progress. Drivers mark pickups and drop-offs while the dispatcher reviews the current route status.

  4. Complete the trip record. Add mileage, timing, and operational notes once the route is complete.

  5. Use the history in reporting. Filter recorded rides by date, program, or other fields when preparing an internal or funder report.

Common questions

What teams ask before getting started.

Three drivers. Twelve riders. Every Tuesday.
