  • What's the difference between an activity and a session?

    An activity is the reusable template in your Library. It holds the name, defaults, and sign-up rules. A session is one scheduled occurrence of that activity on a specific date and time. You build the activity once and put sessions on the calendar as often as you need. People register for a session, never for the activity itself.

  • How far ahead does a recurring series create sessions?

    A series puts sessions on the planner a set number of weeks ahead, not forever. That number is on the Activities settings page. It doesn't top itself up on its own, so if the planner is looking thin, open the series and press Generate now to add more.

  • What happens when someone signs up for a full session?

    If the session has a waitlist, they join it in the order they arrived instead of taking a seat that isn't there. When someone cancels their spot, the person at the top of the waitlist moves up on their own. Staff aren't emailed about it and neither is the member, so it's worth a look at the People tab before the session. You can also move someone up yourself at any time.

  • Can I change a session that already has attendance recorded?

    No. Once attendance is marked, a past session is locked so its history stays accurate. You can still cancel it or add a note, but the attendance itself can't be edited.

  • If I archive an activity, do its scheduled sessions disappear?

    No. Archiving an activity just takes it out of the picker when you schedule something new. Any sessions you already placed on the calendar stay exactly where they are.
