Manage a session's roster and waitlist
A session's People tab is where you manage who holds a spot: registering someone yourself, moving people on and off the waitlist, and clearing sign-ups waiting on approval.
The three segments
Open the session's People tab. It splits into:
- Confirmed
- Everyone holding a spot, with how they registered. A row reads Registered until the session runs, then Attended or No-show once you take attendance.
- Waitlist
- People queued because the session was full, in the order they arrived.
- Pending
- Sign-ups from the member portal waiting on your approval. This only fills up if the activity asks for approval.
Register someone yourself
Press Add registration.
Search for the member and register them.
If the session is full and has a waitlist, they join the waitlist instead of taking a spot. Registering someone from here skips approval and the sign-up window, so use it when you've decided the person belongs on the session.
Work the waitlist
When someone gives up a spot, the person at the top of the waitlist takes it on their own. Nobody is emailed about it, so check the Confirmed list before the session so you know who to expect. You can also do it by hand: on a waitlist row, Move off the waitlist gives that person a spot right away. On a confirmed row, Move to waitlist does the reverse when you need to free one up.
Approve or deny sign-ups waiting on you
On the Pending segment, Approve registration gives the person a spot, or puts them on the waitlist if the session filled up while they were waiting. Deny request turns the request down. With nothing waiting, the segment reads No registrations awaiting approval.
Cancel a registration
Cancel registration gives up the person's spot, and the first person on the waitlist takes it automatically. You can add a reason, but you don't have to. Nothing is refunded, so handle any money owed on the Payments tab.
